It happens quite often that coaches/admins create their entire player squad in easy2coach and then want to invite parents directly to the app afterwards.
In principle, that idea is absolutely right, because our app can and should be used not only by players, but also by parents. However, the approach is sometimes misunderstood.
In easy2coach, each contact should be understood as an individual person. So if Max Mustermann and his brother Moritz Mustermann exist in easy2coach as players (whether in the same squad or in different teams), you should treat these two players as two different persons.
This means each player could have their own email address, so that both Max and Moritz could use easy2coach with their own login credentials. Typically, Max is invited to easy2coach with the email max@mustermann.de and Moritz with moritz@mustermann.de.
But what do you do if Max and Moritz are still quite young and their parents should actually act for Max and Moritz in the app? In that case, many coaches/admins make a common mistake by entering the parents’ email address (e.g. eltern@mustermann.de) for both Max and Moritz. The parents can then log in to the app and, for example, accept or decline events for both of them. However, in practice this creates one user (the parents) who is not a separate contact within the team, but only has access to Max and Moritz.
The correct approach would have been for the coach/admin to create a separate contact “Dad/Mom XXX” with the role “Parents” and then invite that parent contact as a user. After that, this parent contact can be linked to any player, as long as the parent contact also exists within the same team.
You can see exactly how this works in the second screenshot below. In addition, we explain below what to do if players have already been invited incorrectly using the parents’ email addresses. In that case, you simply remove the user link, create the parent contact, and invite that contact to easy2coach again.
If you have any questions about the procedure below, feel free to reach out to us at any time.
Step 1:
Your coach/admin logs in to the app or the web portal and removes the “user link” between player and user across all teams.
We have included an example below for one of our teams (U19), showing what needs to be done:
(1) Select team
(2) Click the player
(3) Click Remove access
(4) Remove access in all teams
(5) Click Update roles for 1 person

Please note: Only once this player/user link has been completely removed across all teams can you continue with Step 2.
Step 2:
Next, create the new parent contact in your team, e.g. “Dad-Mom XXX” with the role “Parents”.
The coach/admin then invites this contact again using the parents’ email address (e.g. eltern@mustermann.de).
–>The invited parent contact accepts the invitation.
–>The coach/admin now copies this contact to the other teams if needed where one of their children is active (the parent contact does not need to be created again—just copied into the other teams).
Step 3:
Now the coach/admin can simply create a player-to-parent link
(1) Select the player who should be linked to the parent
(2) Click Add or remove proxy (delegate)
(3) Select the parent contact in the popup
(4) Click Save in the popup
(5) Click Update roles for 1 person

Afterwards, the parent contact has access to the selected player’s data and can act as the parent for them.
